We believe in complete transparency. Our refund and cancellation policy is clear, fair, and designed to protect both our customers and our commitments to service partners.

Important: The percentages above apply to the land package cost. Airfare, visa fees, and non-refundable hotel deposits are subject to their own supplier policies and may be non-refundable regardless of cancellation timing.
1. How to Cancel a Booking
All cancellation requests must be submitted in writing to be valid. We accept cancellation requests via:
• Email: Send your cancellation request to info@luxytrix.com from the registered email address.
• WhatsApp: Message us on +91 74669 33709 with your booking reference number and cancellation request.
The cancellation date is the date on which your written request is received and acknowledged by our team — not the date of a verbal request. We will send a written acknowledgement of your cancellation request within 24 hours.
2. Non-Refundable Components
Regardless of the cancellation timing, certain components are non-refundable because they are paid in advance to third-party suppliers:
• Airfare: Most airline tickets are non-refundable or carry significant cancellation penalties. Refunds for airfare are subject to the specific airline's policy.
• Visa Fees: Visa application fees paid to embassies/consulates are non-refundable, even if the visa is not approved.
• Train Tickets: IRCTC/Indian Railways cancellation charges apply as per Railways' policy.
• Non-Refundable Hotels: Some hotels and resorts charge non-refundable deposits, especially during peak season. This will be disclosed at the time of booking.
• Festival & Event Tickets: Entry tickets to events, festivals, or activities that have already been purchased are non-refundable.
3. Date Change Policy
If you wish to change your travel dates rather than cancel, Luxytrix will make every effort to accommodate the change, subject to availability:
• More than 30 days before departure: Date changes are allowed with a ₹1,500 amendment fee per person, subject to availability.
• 15–29 days before departure: Date changes attract a ₹3,000 amendment fee per person plus any price difference.
• Less than 15 days before departure: Date changes may not be possible. If accommodated, they attract a ₹5,000 amendment fee plus any price difference.
• Airfare date changes: Governed by the respective airline's policy — charges vary by airline and fare type.
4. Refund Process & Timeline
Once your cancellation is confirmed, the refund will be processed as follows:
• Refund Timeline: Refunds are processed within 7–14 business days of cancellation confirmation. The credit appearing in your account depends on your bank's processing time.
• Refund Mode: Refunds are issued via the same payment method used for booking. Credit card refunds may take 5–10 additional business days to appear depending on your bank.
• UPI/Bank Transfer: Refunds to UPI IDs or bank accounts are typically processed within 3–5 business days.
• Partial Bookings: If your package included components from multiple suppliers (e.g., hotel + flights + visa), refunds for each component will be processed separately and may be received at different times.
5. Force Majeure Cancellations
In cases where travel is disrupted or cancelled due to force majeure events (natural disasters, government travel bans, pandemic outbreaks, war, civil unrest), the following applies:
• Luxytrix will make every effort to rebook or reschedule your travel to alternative dates at no extra cost.
• If rescheduling is not possible or not desired, refunds will be based on the amounts recoverable from airlines, hotels, and service providers — which may be partial and may take 30–90 days.
• Luxytrix will not be liable for additional costs incurred due to force majeure events, including but not limited to accommodation costs, return travel costs, or loss of income.
• Comprehensive travel insurance is strongly recommended and covers many force majeure scenarios.
6. Visa Rejection Refunds
In the unfortunate event that your visa application is rejected:
• Luxytrix will provide a full refund of the package cost (excluding visa fees) if the rejection is received more than 15 days before departure.
• If the rejection is received less than 15 days before departure, cancellation charges as per the standard policy will apply.
• We strongly recommend applying for visas at least 4–6 weeks before departure to allow adequate buffer time.
• Visa fees paid to embassies are non-refundable regardless of the outcome.
7. No-Show Policy
If you fail to arrive at the departure point on the scheduled date and time without prior cancellation notice, the entire package cost is forfeited with no refund.
If you are delayed due to flight delays or other transportation issues, please contact your Luxytrix coordinator immediately at +91 74669 33709. We will make reasonable efforts to accommodate the situation, though this cannot be guaranteed.
8. Group Booking Cancellations
For group bookings (10 or more travellers), the following special terms apply:
• The group leader is responsible for coordinating all group cancellations and communicating with Luxytrix.
• Individual cancellations within a group (where the group continues) are subject to the standard individual cancellation policy.
• Full group cancellations follow the standard policy timelines but may attract higher charges due to pre-committed group booking rates.
• Replacement of cancelled group members with new participants is allowed, subject to availability and a ₹500 name-change fee per person.

While we can't always avoid cancellation charges due to pre-committed costs with hotels and airlines, we promise to process all refunds as quickly as possible, keep you informed throughout, and always try to find a rescheduling option before a cancellation is finalised.
